For importing inventory item master from Busy, your data must be in Excel format and the Excel configuration must be in the format as required by Book Keeper. Follow below steps:
- Download the sample format of item masters from Book Keeper with below steps:
Go to Tools > Import Item/Service from Excel > Download Sample Excel File
A sample file will be downloaded on Desktop (import_Inventory Item.xls). You need to copy item data from Busy to this Excel file. Below is the sample format:
- How to configure columns in BUSY for exporting Inventory masters?
Follow the below steps to configure columns:
Administration > Masters > Items > List > Screen > Configurable(Alphabetical) > All Items. This will display list of all items in BUSY. To add additional columns, follow below steps:
Select Fields > Select the required columns which will be exported from BUSY. The required fields are given in below screenshot:
- Save the above option and then click on Export button to export all items with additional columns to an Excel file. Below Excel file is generated:
NOTE: In above Excel, one column is not showing, that is Initial Rate Per Unit. So, we will insert a column after Op. Stock (Main) and apply a formula i.e. Op. Amount / Op. Stock. By this formula you will get Initial Rate Per Unit. This column is mandatory in the sample format in Book Keeper.
NOTE: You also need to replace Tax Scheme name. You need to add @ in the tax scheme name. For example, GST 12% should be replaced with GST@12% as so on.
- Copy all the columns one by one and paste in Book Keeper sample file (import_Inventory Item.xls) then Import data in Book Keeper with below steps:
Tools > Import Item/Services from Excel > Select Import Type > Select your Excel file > Start Import
